Definition: What is Trip Exchange coverage?

Travel Guard’s Trip Exchange coverage makes changing your travel plans easier. If you need to change your travel dates for your trip (because of a covered reason on your travel insurance plan), instead of jumping through the hoops of canceling your trip just to turn around and rebook it – Trip Exchange provides coverage to help reimburse the costs associated with changing your travel dates. Expenses like increases in cost and cancellation fees can be claimed under your Trip Exchange benefit. Coordinating travel can be hectic, but with Trip Exchange, you’ll have even more peace of mind knowing you have the flexibility you need.

How do I use the Trip Exchange benefit if I need to change my travel plans?

Work directly with your Travel Suppliers, such as the airline or cruise you originally booked with, to reschedule your trip. If there are cancellation penalties, change fees or cost increases, you can submit the required documentation to Travel Guard to seek reimbursement for those costs if you had to cancel your original trip for a covered reason. Additionally, the cost you paid for your travel insurance plan can be reimbursed under this benefit to purchase a new travel insurance plan for the rescheduled trip as your original travel insurance plan will not cover the rescheduled trip.

What documentation do I need to file a claim for Trip Exchange?

The documentation needed for your Trip Exchange claim will depend on the reason you’re changing your travel dates and what you originally had booked. Below is a list of documentation that may be required.

  • Travel Guard claim form
  • Documentation to support the reason for changing your trip dates
  • Proof of travel/reservations
  • Incident reports
  • Receipts for any claimed expenses
  • Medical reports

Additional documents may be required based on your specific claim. You can start the process of filing a claim online with our claims portal or you can call us directly if you have specific questions.

Example Scenario:

You and your partner have been planning a once-in-a-lifetime trip to Paris filled with wine tastings, walking tours of the city and a sunset cruise on the Seine River. Two weeks before your trip, your partner gets injured at work, and their doctor says they can’t travel for eight weeks. You’ve been dreaming of this trip and don’t want to completely cancel all your plans, so you work with your Travel Suppliers to adjust your travel dates for a future date when your partner can travel.

In this scenario, you’re rescheduling because a covered traveler’s Injury is certified by their Physician to prevent travel, which could be a covered reason under Travel Guard’s Trip Exchange . You can reschedule your flights, transportation and other reservations for your new travel dates. You can then claim those extra expenses and fees with Travel Guard and request to be reimbursed for those costs. Remember to read your travel insurance plan’s complete terms and conditions before booking to help ensure you have the coverages you may need. All claims under Travel Guard travel insurance plans must be reviewed by the appropriate claims personnel.

Common Questions

No, Trip Exchange coverage is specifically for changing your travel dates with the same Travel Suppliers. Trip Cancellation is used when you must completely cancel.  Review your travel insurance plan to better understand the benefits of both Trip Exchange and Trip Cancellation. 

Yes, as long as the trip is rescheduled with the same Travel Suppliers (or within the same supplier network), the destination does not impact this coverage. In other words, if your trip to Greece is cancelled but you reschedule with the supplier to an Italy trip  for different dates, you may file a claim under the Trip Exchange coverage for reimbursement of the relevant costs. 

Trip Exchange is a pre-departure benefit, meaning you will have coverage for changes to your travel dates done before heading off on your vacation. If you’re already on vacation, you cannot receive return trip coverage under Trip Exchange. 

Yes, once a Trip Exchange claim is paid, the travel insurance plan is no longer in force and cannot be modified to cover the new dates. However, as part of Travel Guard’s Trip Exchange coverage, you’ll be reimbursed the cost you paid for your original travel insurance plan, which may be able to help with the cost of buying a new travel insurance plan if you want coverage on your modified trip.
